Position Overview

The Office of Continuing Medical Education in the Cumming School of Medicine invites applications for a Registration Assistant. This Fixed Term Recurring Part-time position is for approximately 10 months (based on length of grant funding), with the possibility of extension.

The Office of Continuing Medical Education and Professional Development (CME), University of Calgary's mission is to provide leadership in education for physicians, other health care professionals and the community, thereby helping to provide the best health care to our community.  The Office of CME develops over 50 courses & program per academic year to serve the educational and registration requirements for approximately 5,800 physicians and other health care professionals annually.

The Registration Assistant reports to the Specialist, Business and Finance (Manager), Continuing Medical Education and Professional Development (CME&PD), with accountabilities from both the Manager and the Director, Office of CME&PD. 

Position is a Recurring Part-time Fixed Term position. Seasonal peak periods align with course delivery during academic year.  Recurring Part-time employees are hourly employees engaged to perform work on an irregular schedule.   

Position Description

Summary of Key Responsibilities (job functions include but are not limited to):

  • Ensure all participants are registered with accurate information, fees paid and receipts issued, process refunds
  • Answer telephone calls about registration and coordination of courses with the appropriate knowledge and assistance
  • Communicate registration information
  • Produce standardized and special registration reports for courses
  • Maintain filing system of course registrants, receipts and invoice
  • Maintain database of past and present registrant
  • Work with CME Office to ensure all course information is accurate and up-to-date on the CME webpage

Qualifications / Requirements:

  • Related post-secondary education with related business experience will be considered
  • A combination of experience and skills will be considered
  • Demonstrated excellence in customer service on the telephone, in digital communication and face to face with clients, and internal and external stakeholders
  • Knowledge of policy, regulation and procedures related to administrative workflow
  • Strong organizational, analytical, and problem solving skills
  • A demonstrated interest in health education
  • Excellent working knowledge of Microsoft Office applications (Access, Excel, Word, Outlook, Power Point)
  • Professional written and verbal interpersonal/communication skills
