Administrative Coordinator, Community Health Sciences, Cumming School of Medicine

Position Overview

The Department of Community Health Sciences in the Cumming School of Medicine invites applications for an Administrative Coordinator.  This Full-time Fixed Term position is for approximately 12 months (based on length of grant funding), with the possibility of extension.

Reports to the Principal Investigator.

  • Responsible for assisting in planning, scheduling, and coordinating events & activities related to Methods Group
  • Assists with organizing program meetings
  • Support the team with administrative tasks such as room booking, maintaining the research team accounts, taking minutes at team meetings, and keeping online accounts up to date

Position Description

Summary of Key Responsibilities (job functions include but are not limited to):

  • Work with program staff to design, develop and disseminate program applicable communications, presentations, publications and research findings
  • Works with knowledge translation staff to ensure program details are up to date on the website
  • Assists with the creation of project plans charters and budgets
  • Help to manage, monitor and report on project timelines, milestones and deliverables
  • Assists in tracking project expenses and account balances
  • Help to manage research protocols in preparation for IRB submission and prepare submissions to applicable ethics boards
  • Help to ensure all projects adhere to ICH/GCP, legal, ethical and privacy requirements, including regular audit of performance (i.e. track update of projects)
  • Support the team with administrative tasks such as room booking, maintaining the Methods Hub email account, taking minutes at team meetings, and keeping online accounts up to date
  • Responsible for assisting in communications and coordinating all Methods Group and P2 Group program activities, meetings, workshops (organize/schedule; take minutes, arrange for required equipment needs, prepare meeting materials)
  • Responsible for communications activities, such as managing the Methods Hub email account and mailing list and managing the Methods Hub social media accounts (Twitter and Instagram)
  • Responsible for assisting in planning, scheduling, and coordinating events & activities related to Methods Group Assists with organizing program meetings
  • Attends methodological rounds and keeps abreast of current and future analytical contacts/networks
  • Responsible for updating the Director's CVs and Google Scholar Profile
     

Qualifications / Requirements:

  • Bachelor's degree: BSc in health sciences, BA, or related training, plus a minimum of two years of related work experience
  • A combination of education and experience will be considered
  • Administrative experience in an office setting an asset
  • Experience maintaining an academic CV an asset
  • Experience planning of educational activities and events an asset
  • Ability to communicate effectively both verbally and in writing is essential; communications related experience (i.e. mailing lists, newsletters, podcasts, website updates using Wordpress and social media) is an asset
  • A clear understanding of the Health Information Act and how it applies to research, quality improvement and evaluation
  • A clear understanding of responsibilities under ICD/GCP requirements and experience in applying ICH/GCP guidelines, research ethics policies and Tri-Council policies for research involving humans
  • Previous experience managing/coordinating multiple complex projects is required
  • Ability to work well in a group setting, as well as independently
  • An understanding of knowledge translation is an asset
  • Demonstrated personal initiatives and leadership
  • Experience with the University of Calgary's administrative electronic systems (eFIN, PeopleSoft) is an asset
  • Proven ability to deal tactfully and decisively with sensitive issues while maintaining high levels of customer service and confidentiality
  • Exceptional interpersonal skills and ability to handle difficult situations in an objective consistent format
  • Organizational, time management, administrative and problem-solving skills are essential Demonstrated initiative and ability to seek our answers to questions and problems
  • Fully proficient working knowledge of the Microsoft Office suite, specifically Word and Excel. Excellent interpersonal and organizational skills
